Document

  • Definition - A formalised carrier of information

  • Examples - A work instruction to operate a packing line, a quality policy, a safety PPE-matrix,...

  • Practical - Before adding content, a first step is to create the digital reference need to be made, ensuring you have a node in the platform for all conversations, versions, etc

  • Bulk upload - To get started, a bulk upload can facilitate transitioning from a legacy system to the new document portal of Maecos.

Version

  • Definition - The specific, saved iteration of a document that captures its content and structure at a particular point in time

  • Approval - When transitioning to a new document version, this needs to be approved. Without approval flow, this includes reason for change and details of change

Submit a draft document for publication

  • Status -

    • Published - Was (grey) or is (green) made available in the document portal

    • Draft - The working version of a document. Can be done by the document owner or bottom-up by the suggestions from end-users (coming Q1-2026)

Document history

Category

  • Definition - The functional domain a document belongs to. Hierarchy can be made, similar to folders in shared drives or sharepoint-sites.

  • Examples - Quality documents, Operational documents, Technical documents

  • Granularity - Acces can be granted at category level, templates can be defined at category level too

  • Configuration - A document can be created via /Settings/Documents/Document categories
